Is our solution right for you?

Our solution is the best fit when your business is already anchored in your ERP, your product range is large and your pricing isn't simple. If you're just starting out and the webshop needs to "be everything", there are other solutions that will suit you better.

When we present our e-commerce solution, we prefer to do it with your own data from your ERP. That way you can evaluate every part of the solution, both the admin systems and the customer-facing ones, and get a real basis for your decision.

We're happy to talk about setting up a free demo for any system, if it's possible on your installation. First we need to talk to your ERP provider, so we can work out what your ERP can do.

Your ERP data, put to work

You maintain your data in your ERP as usual. We fetch it to our platform, via the ERP's API or by replicating from the database, and from that copy, item master data, stock levels, customer data and prices flow through to wherever they're needed in the solution.

How often data is updated, and what's included when, is something we agree with you.

The solution consists of

The core platform

The integration with your ERP, the data mirror, and user management with single sign-on and two-factor login.

Applications

Chainbox PIM (where you enrich your products with copy, images and data that don't belong in your ERP) and Sales Insight. They're shared by all customers and updated continuously.

The webshop

Chainbox Webshop on Umbraco CMS. It runs as a separate, dedicated instance just for you, which is why it can be customised.

We don't have a standard setup of the webshop that can be deployed without customisation for Visma Business, Visma.net or Iptor DC1. That means a smaller part of the webshop we deliver has to be customised.

It's still the same standard software, though, and because there are customisations, it comes with an update agreement. That brings your solution up to the latest version 4 times a year, so you don't end up with an outdated shop.

Hosting and maintenance

You buy licences for one complete solution, which we host and run for you. We take care of hosting in the EU, monitoring and ongoing updates. The solution runs on our side, but the data is always yours.

If you'd rather have a different front end, such as Shopify, Shopware or Magento, the Chainbox platform, integration and PIM can sit behind it. Your own agency builds the front end and pulls data through our API, so you choose your own partner.

Sales and customers

B2B, B2C or both

The webshop is set up around who you sell to: an open catalogue with checkout, open without checkout, or login only. Product views, prices, variants and add to basket are controlled with settings, so you don't need to be technical.

Customer-specific pricing

Prices are calculated from the price structure in your ERP. For a logged-in visitor linked to a customer account, the webshop calculates the price from the customer and the item.

If people can buy without logging in, you set up a default customer number from your ERP in the webshop. That customer's setup controls the prices for everyone who isn't logged in.

Customer login and self-service

Create logins and link them to customer accounts, so customers buy at their own prices. In their account area they have favourites lists, open and previous orders and invoices, including those created in your ERP through other channels. Orders from logged-in customers are transferred to your ERP on the right customer account, exactly as if they'd been entered there.

The customer's purchase history from your ERP

If a customer has so far bought through a sales rep or over the phone, those items are already on the list of the customer's most-bought products and can be reordered the first time the customer logs in.

The webshop as a sales rep tool

Staff in your order department and your field sales reps can get a sales rep login with extended access. With it, they switch between customers from your ERP and place orders on the customer's behalf. It's also where they introduce new customers to the webshop.

Multiple languages, markets and sites

Several shops, languages or countries can run in the same solution, or you can have several installations sharing the same PIM. Product copy can be translated into as many languages as you like, and fields marked for translation can be machine-translated as a first draft.

Content and products

Product lists right in your content

With a set of extensions to Umbraco, you set up product lists based on filters and place them wherever you like in your content. The lists update themselves as new items are added and old ones are discontinued.

Guides and brand pages linked to products

Build guides, brand pages, size guides or other content, and link it to products directly or via category, brand or tags. The content is then shown automatically on the product pages it belongs to.

Categories maintain themselves

Categories without active items aren't shown. When the last item in a category is discontinued, the category disappears on its own.

In PIM you can build one or more category hierarchies and choose which parts the webshop shows.

Large product ranges and variants

The solution is built for large catalogues, both when there are few categories with many variants and when there are thousands of items in a deep category hierarchy.

Product data in PIM

In PIM you can bulk-update precise selections of your product range and extend the product model with your own fields. Views, filters and forms adapt to the way you work with your products, and changes show up quickly on the webshop.

Customer-specific product ranges

Control which items each customer or customer type can see and buy, such as products that require a certification or may only be sold in certain markets. The rules are set up directly in the solution.

Search and upselling

Search and filters

Free-text search finds products, categories and content, even when the customer misspells something. On the product lists you choose which filters customers can use, and filters without values are hidden automatically.

Synonyms and filters at every level

Set up synonyms and keywords, so search also finds products by the words your customers use.

Filters can also be controlled per level in the category hierarchy and for the product lists you've added to your content.

Related and popular products

Accessories, replacements and related products are set up in PIM. On top of that, we continuously calculate from invoicing in your ERP which products are popular and which are bought together. This is used to show popular and related products on category and product pages.

Feeds for ads

The webshop keeps your Google Merchant feed up to date for product ads, and you decide how often it's generated and where it's stored.

Punch-out for large customers

Many larger companies and public organisations buy through their own procurement system. With punch-out (OCI 3, 4 and 5 and cXML), the webshop connects directly to it, so the customer can find your products and send the basket back for approval in their own system.

Ongoing updates

New features are rolled out to everyone. Standard solutions are updated automatically, and solutions we've customised have an update agreement with 4 updates a year. See more in the questions at the bottom.

How the integration works

All our integrations are built on the same thing: a data mirror on our platform that PIM and the webshop work from. How the data gets there depends on whether your ERP has an API.

Replication from the database

If your ERP runs on-premises, we can replicate data from the database with a small client on your server, the same way we do with NAV. That's how we run with Visma Business.

ERP with an API

If your ERP has an API, online or on-premises, we set the integration up against it. Visma.net is online, and there it requires API access.

If your ERP runs in a private cloud, we build a client that runs locally on your side and talks to the API inside the firewall. In principle it works like our SQL replication, just with data from the API and orders delivered to the same API. That's how we run with Iptor DC1, where a number of API endpoints have to be set up via Aperio.

The order

On Visma Business we have experience with importing via XML files: a small client creates an XML file from the web order and drops it in an import folder. How the order is best brought into your system is something we coordinate with your ERP provider. On Visma.net and Iptor, the order is created via the API.

Whichever route, we go through the mapping with your ERP provider, and from there your normal sales order flow applies.

Prices

Our price calculator covers a good part of the price calculation in Visma Business and Visma.net. On Iptor DC1 it covers specific price setups, but not all of them.

As with the other ERP systems, we need to work out what your ERP can do, and how your prices are set up, before we start.

An ERP we haven't seen before

Over the years we've worked with most players in the ERP industry. If you have a system we haven't integrated with before, we start with a conversation with your ERP provider about what the system can do, and whether there's an API or a database we can fetch data from.

If it's possible on your installation, we then set up a demo with your own data, so both you and we know whether the solution is right for you before you decide.

Why we mirror data

With the data mirror, the webshop gets faster response times and better stability. We keep the dependency on your ERP being available to a minimum and reduce the load on your system.

It's about efficiency and robustness, and the experience is better on both sides: for your customers in the webshop and for your staff in the ERP.

If the connection is down

Then we don't get new data, but the webshop keeps running and takes orders, which wait until the connection is back. We monitor the integrations and have fixed playbooks for outages and known errors.

Who does what

You and your ERP provider

  • Provide access to the ERP's API or a server where the client can run.
  • Make sure web orders can get into the ERP, via API or file, in dialogue with us.
  • Handle payment and capture in the order process in the ERP.
  • Handle customisations in the ERP as usual.
  • Manage user permissions for your own staff on the platform and can extend product data in PIM yourselves.

Us

  • The integration, the client, the data mirror and the monitoring.
  • Data mapping, so the webshop works.
  • Hosting and maintenance of PIM, webshop and platform.

The day you change ERP

We've been part of lots of ERP switches where the customer kept their e-commerce solution, such as Hertels Boresko moving from an older ERP system to Uniconta and DALI from NAV to Business Central.

PIM, customer logins and the webshop live on our platform, not in your ERP, so when you switch, we replace the integration and set up a test environment with the new ERP alongside the solution you run today. You test until you're ready, and at go-live we switch from the old solution to the new one without any webshop downtime.

Questions

Yes. Once we've worked out with your ERP provider what the ERP can do, we set up the demo free of charge.

The demo shows our systems with your own data: user administration, PIM, Sales Insight, Webshop Management and the webshop your customers will shop in. If you don't go ahead, we delete the demo and your data.

It depends on the system. If the ERP has an API that can do what we need, there's often not much to do. Otherwise web orders have to come in via a journal or a file, and it's your ERP provider who knows your setup.

We're happy to talk directly with your ERP provider about the easiest and quickest way to sort out the practical side. If you no longer have an ERP provider, we may be able to point you to one with Chainbox experience.

Yes. Logins are unique and linked to a customer account, so logins can be created for the customer's employees per email address. Your own sales reps and customer service staff can get access with sales rep privileges and switch between customer accounts when they're logged in via SSO.

If you run the standard version, you follow our ongoing releases. New features and fixes go out when they're ready, and the webshop is updated automatically.

If we've customised your webshop, your customisations have to work with every new version, so it comes with an update agreement that brings your solution up to the latest version 4 times a year. That replaces the big upgrade projects that would otherwise come along every few years.
